First, who does what

Rapid City Window Pros is a free matching service, not a window company. It doesn't measure, sell, order or install windows. The steps below describe what independent window installation companies around Rapid City typically do, so you can ask the right questions and spot a quote that leaves something out.

A few things make Black Hills jobs a little different: more than half of Rapid City's homes were built before 1980, so lead-safe rules come up often; hail claims add an insurance step for many homeowners; and winter installs happen in a place where the January average low is 12.7°F.

The seven steps

  1. 1. Request quotes

You describe your windows through the form or by phone: how many, which rooms, roughly how old the house is, and what's wrong. If hail did the damage, include the storm date. Independent window installation companies that serve your area receive the request and contact you to set up a visit. Rapid City Window Pros does not set their schedules or prices.

  2. 2. In-home measure and inspection

A representative measures each opening and checks the frames, sills, exterior wraps and trim, and interior returns. They should note whether the house was built before 1978, which basement rooms need egress sizing, any hail damage to glass, frames and screens, and whether frames are sound enough for insert replacement or need full-frame work.

  3. 3. Written quotes you can compare

Get every quote in writing and compare the same items: frame material and window line, glass package (low-E, gas fill, double or triple pane), insert or full-frame installation, trim and capping, how rot is priced, warranty terms in writing, lead-safe status on pre-1978 homes, and who pulls the permit if one is needed. Ask for the SD contractor's excise tax license number and proof of insurance.

  4. 4. Signing and the three-day cancel window

If you sign at home, South Dakota law lets you cancel until midnight of the third business day, and the seller should give you a written cancellation notice. Use that time to reread the contract. Don't pay in full up front, and don't accept a cash-only arrangement.

  5. 5. Final measure and order lead time

Most replacement windows are made to order for each opening, so many installers send someone back for a precise final measure before ordering. Then there is a wait while the windows are built and delivered, which can stretch after a big hail year. Ask each installer for their expected lead time in writing.

  6. 6. Install day

Crews remove the old units, prepare the openings, set and shim the new windows, insulate and seal the gaps, and finish trim or capping. Many installers work one opening at a time in cold weather so only one hole is open to the outside at once, though practices vary. Lead-safe firms add plastic containment and specialized cleanup on older homes.

  7. 7. Final walk-through

Before the final payment, open, close and lock every sash, check the glass for scratches and the labels for the right glass package, look for gaps in exterior sealant, and confirm screens are in. Keep the paperwork: the contract, warranty documents, product labels or certificates, and any permit sign-off.

Checks to make before you sign

South Dakota has no state window-contractor license, so the checking is up to you. Rapid City Window Pros does not verify licenses or insurance. Ask each installer for:

  • An SD contractor's excise tax license number. Verify it with the Department of Revenue at 1-800-829-9188.
  • Proof of insurance, as a certificate, not a verbal promise.
  • EPA Lead-Safe Certified Firm status if your home was built before 1978. EPA runs the lead renovation program directly in South Dakota.
  • A City of Rapid City contractor license, or a City of Spearfish license, where the city requires one.
  • Who handles the permit. Same-size replacements often don't need one, but enlarging an opening or adding an egress window does. The installer should confirm with Rapid City Building Services (605-394-4120), your town, or Pennington or Meade County Planning.

Hail jobs: one extra step

If the windows are part of an insurance claim, talk to your agent and read your policy before you sign anything. Know whether you have actual cash value or replacement cost coverage and what your wind/hail deductible is. Rapid City Window Pros does not handle, negotiate or adjust claims. See the hail damage guide and storm chaser red flags.

When to schedule

Windows can go in year round, but spring through fall is easier on everyone. Winter installs are common in the Black Hills, typically done one opening at a time; ask how each installer protects the house on a cold day. After a big hail storm, expect busy schedules and longer waits for custom units.
